Steps in Planning Group Travel
THE MOST IMPORTANT
STEP IS COMMUNICATION!
Before doing
anything else, you must open the lines of communication between
all decision makers in the group. Centralize the
communications so that everyone is informed on prices, locations
and options. One of the biggest mistakes in planning a
trip for a large group is to not inform everyone of what is
being booked and when deposits and final payments are due.
This can end up being a costly error!

Pick
a Destination
The
destination is key to everyone's enjoyment and
participation. For example, a family reunion
in Las Vegas would provide plenty of excitement..
that is if the majority of the group consists of
adults. On the same lines, a group trip to
Disneyworld may be right if there are several
children involved. You must also consider
whether or not everyone has or will have a passport,
if you plan on traveling outside of the U.S.
The point is, that everyone's input is crucial when
picking the destination. One option that many
families choose when gathering for a reunion is a

Determining
a Fair Budget
Let's
face it, unless your last name is Rockefeller, the
per person or per family budget will be a major
consideration. Of course family budgets are a
personal matter, and differ for every family, but
it's always a good idea to keep this in mind when
not only picking the destination, but taking into
account any social activities planned while there.
Food costs vary greatly by destination as well.
A simple example would be McDonald's Big Mac.
A Big Mac costs on average $3.41 in the U.S., but in
Chile, it's $2.97 and in China, $1.45 In
Norway the burger cost the equivalent of $6.88 and
in Switzerland it's $5.20.
Getting
Financial Commitments
It's all
well and good to have everyone agree upon the
destination and budget considerations for a group
trip verbally, but it's quite another to have them
commit financially. In most cases, when a
group is booked, the travel supplier requires a
small deposit from each person. This deposit
may or may not be refundable. A schedule of
payments will be set and the closer you get to the
departure, these payments will eventually be

made.
